Power Automate - Sending an email reminder about a task being due the day before the due date (SP list column) to assignees

Hi, I have built a tracker app in PowerApps. The backend is a SP list. I have created a workflow to send an email to those who are assigned the task letting them know they have a new task they need to do. I also want to build a workflow to send an email to the assignees the day before the due date of the task as a final reminder. What steps do I need to place in my flow to compare the due date to the day before?

Hi @kat7777777 , You can create schedule flow on your SharePoint list . The flow will run on daily basis once in morning as per your time zone.

It will get all items in your SP list and then use condition action within apply to each loop.

Your condition will validate the difference between Today and DueDate is 1 day, if current record satisfy the condition, then you can send email reminder.

The standard strategy is as follows:

    1. Create a scheduled flow that runs once per day.
    2. The flow should query the list and find all items that meet the date criteria (the date field is one day greater than the current date)
    3. The flow should loop through the results, sending emails for each item.

The trick here is dates, as Power Automate and SharePoint each handle dates differently. Luckily, @ScottShearer has a nice writeup for sending these sorts of reminders here.

Hi @kat7777777 , I tried one repro for you to avoid any expression in Power Automate Flow, for that please check below steps:

    1. In your SP list create 2 columns:
    2. First column will be of name TodayDate of type Date and time which will store your today's date. Make sure to create as shown in below screenshot:
    3. ANB_0-1695453886640.png

    4. Then create another column in your SP list of name DateDiff of type calculated column as shown screenshot, the formula would be like =DATEDIF(TodayDate,DueDate,"D")
    5. ANB_3-1695454416710.png

    6. Then when a new item is created in your SP list, the SP list will look like below which is nothing but will give the date diff.
    7. ANB_4-1695454447921.png

    8. Now you just need to create a flow for all those item where the DateDiff is 1, which is nothing but the one day prior to DueDate.
    9. Flow will be schedule flow which will run daily in morning 6 AM as shown in below screenshot, you need to select your time zone when this need to start:
    10. ANB_7-1695454891513.png

    11. Then 2nd action will be like below:

    13. Then 3rd action will be apply to each as shown below:

      ------------------------------------------------------------------------------------------------------------------------------

      I hope this helps.

Hi, thank you for your help. I did receive an error though on Step #4. It says the formula contains a syntax error or is not supported. Any tips?

HI @kat7777777 , I hope you are not using the same code that I have used? You need to use your columns names in the code.

TodayDate: Is column in my list which hold todays date and

DueDate: Is column in my list which hold due date.

Can you confirm on the same please?

If you can send me the screenshot of formula and the screenshot of column names?

I had a space in my original "Due Date" column name. When I input that into the code it gave me an error. I just recreated the due date column but named it "DueDate" instead and that worked it seems. I will finish out the steps and let you know if it works. Thank you again for your help!

    Good morning,

I received this error when I tested out my flow. "The field 'DateDiff' of type 'Calculated' cannot be used in the query filter expression." Do you have any recommendations on how to fix?
