To restrict Copilot Studio SharePoint agents from accessing certain files, you can implement either naming conventions or adjust SharePoint permissions. Here are two possible solutions:
Naming Conventions: Use specific naming patterns to identify files that should be restricted. For example, you could prefix files that should not be accessed with a particular label like "RESTRICTED_" or "ARCHIVE_". Then, configure your agents to only process files that do not follow this naming pattern.
Permissions Management:
Break inheritance: Disable inheritance of permissions from the parent folder and customize permissions for individual files or folders.
Create a dedicated security group: Assign specific users or agents to a security group that has read or write access to specific files and folders.
Use SharePoint’s access request and approval system: Limit access to certain folders based on approval processes, ensuring only authorized users can access the files.
By combining these methods, you can effectively restrict agents from accessing unwanted old files while allowing them to continue working with current content. Let me know if I could help by liking this and marking it as such.
