Restrict Copilot Studio sharepoint to access certain files

Dear Community,
 
I am here again with another request.
 
We have some agents pointing to a sharepoint folder as knowledge source. 
The Agents are working well, but we were wondering if there are some ways to restrict the agent to access some old files? (probably either by some special naming convention or changing permissions)
 
Can you one put some lights on it?

    The cleanest way to do this is to move the old files into a different sharepoint folder - ‘archive’ for example. Then on your agent knowledge source only point it to the active folder.

    1. Naming Conventions:

      Use specific naming patterns to identify files that should be restricted. For example, you could prefix files that should not be accessed with a particular label like "RESTRICTED_" or "ARCHIVE_". Then, configure your agents to only process files that do not follow this naming pattern.

    2. Permissions Management:

      • Break inheritance: Disable inheritance of permissions from the parent folder and customize permissions for individual files or folders.

      • Create a dedicated security group: Assign specific users or agents to a security group that has read or write access to specific files and folders.

      • Use SharePoint’s access request and approval system: Limit access to certain folders based on approval processes, ensuring only authorized users can access the files.
