Dynamics 365 Data in Dataverse - What happens after Dynamics 365 cancellation?

Hello,

 

We are currenly using Dynamics 365 and entered quite a bit information into the platfrom. We also decided that most of the functionality we need can be accomplished via Power Apps only (using dataverse) I was wondering if we would lose all the data we have put into Dataverse through Dynamics 365? Such as contacts and Leads etc... Does anyone have an idea on how we can retain all the data inside the Dataverse but cancel the Dynamics 365 subscription?

    Hi @yucelm,

     

    You would need to migrate the data from the current environment to another environment that would not contain the Dynamics 365 for sales schema.  This could be a significant effort depending on what you have stored and we normally would utilize tools like SmartConnect, Scribe, KingswaySoft, etc. to accomplish this to keep all the original create dates, GUIDs, etc. 

     

    My recommendation here would be to keep a single license for the Dynamics 365 at the Professional level ($65 per month) and then utilize that environment / database but license the rest of your users for the Power Apps Per App license.  This would allow you to keep the environment and not migrate and save most of the cost without any migration effort.

    Hi @yucelm,

    You can keep you Dynamics 365 environment and just use the base Dataverse capabilities. You will not lose the D365 data but those D365 tables like leads, opportunities become "restricted" so you shouldn't be using them going forward. Suggest to keep you current environment to avoid data migration effort and risk of errors. Just simply remove the D365 licenses from your users and assign new Power Apps per users/app licenses instead and voila!

    Hello,

     

    Thanks for the reply. What I was wondering is if I will be able to use my data through either custom power apps or as a Dataverse service? If Microsoft will erase all the data which was created Dynamics 365 (marketing lists, accounts etc...) I will back this up and try to find another solution.

     

    I may have not understool what you meant exactly, that's why I wanted ask bit more in detail 🙂

    Hi @yucelm,

     

    You will be able to use the database / environment  data through custom power app and Dataverse service.  You will need to have Power Apps licensing of course for this...

     

    Technically Microsoft will probably not remove those tables (Opportunities, Marketing Lists, Quotes, Products, etc.) but they technically would have the right to do so if you have no licenses for the modules that provide those tables.   

     

    Microsoft works off of a trust model in general and you should not be referencing those tables if you do not have any licensing for Dynamics 365 that includes them. With Power Apps Per App / Power Apps Per User you do have access to the core entities which include Account, Contact, and many more.  

     

    See the following section in Microsoft documentation (https://docs.microsoft.com/en-us/powerapps/maker/data-platform/data-platform-entity-licenses#restricted-tables).  There are some good examples there as well of licensing scenarios.

    Just to clarify a little on @dpoggemann, tables and data will not be removed. Tables will become restricted though and should not be using them without a proper D365 license (you'll see a "Restricted" label next to the table name in make.powerapps.com). Some apps as well will be locked down like Team Member and Sales/Customer Service Hub.
