Power apps licensing conundrum

Sorry for another question on licensing but I can’t understand the amount my scenario appears to cost. We have an organisation of 5000 internal employees who we would like to interact with via a number of different power apps which would require premium connections (SQL) to our internal database. From the power apps pricing page it seems to suggest that costs would be £7.50 x 5000 (users) = £37,500 per month for a per app plan (although this only covers two apps) or alternatively £30.20 x 5000 (users) = £151,000 per month for the per user plan, surely this can’t be right, what organisation would be such exorbitant amounts. Please tell me I’m either missing something or there is another pricing option I can’t find. Thanks in advance.

    Hi @Frustrateduser

I wish I could say that there were another pricing option, but the figures that you give are correct.

For 5000 employees to use SQL server, you would need to subscribe on a per app or per user basis at the prices that you state.

If your organisation uses Office 365, this would include SharePoint and seeded PowerApps licenses. You could build an app based on SharePoint, and develop a process to sync the SharePoint data with SQL Server. Whilst this isn't ideal, it might provide a workaround to help you reduce your overall licensing cost.

In my experiences, Microsoft will work with you a volume licensing agreement. They can rarely augment what the products are providing (such as getting 4 apps from the Per App plan), but they do have the final say on the pricing (maybe 25% off - can't quote you on anything specific).

5000 active users is a significant amount. I would be very surprised if your organization didn't already have a close relationship with a Microsoft account manager, and/or an Enterprise Agreement with MSFT.

Additionally, quick clarification on the '2 apps' that is covered by the Per App's plan

    • Two Power Apps (one of each, or two of one type)
      • Model-Driven App
        • 3 Embedded Canvas Apps, per model-driven
      • Standalone Canvas App
    • 1 Portal (access to one)

There is a workaround there to allow some canvas app functionality within the model-driven app, depending on your intended UX.

    Hi,

As has already been suggested here I would recommend reaching out to your licensing provider and see if you can talk with them about a licensing discount.

The SQL is a premium connector so it will require a license for each user who will need to use it.

    Regards,

    Alex
