I have 2 SharePoint lists named "Rebate Expiry form" & "Rebate Approval". now i have created 2 lists because the users who can approve are different from the user who can create.

The "Rebate Expiry form"  list has those columns:-

1) ID

2) Title

3) Customer Code

4) Sales Program ID

5) Effective Date

and the "Rebate Approval" has those columns:-

1) ID

2) Status (Completed or InProgress)

3)RebateExpiryID (reference the first list)

now i have a gallery which lists the "Rebate Expiry form" data and i have added filtering for all the columns as follow:-

johnjohn123_0-1680131537959.png

now the customer is asking to add the "Rebate Approval" Status field inside the gallery + the ability to filter the "Rebate Expiry form" items based on the "Rebate Approval" Status field? so can anyone advice what i can do to achieve this? does Power apps support having a gallery which is linked to multiple lists? if not any solution to achieve this requirment?

Thanks

    Hi,

    @johnjohn123

    Are there any associated fields associated with two tables? If any, you can use this associated field to bring out the desired field.

    @johnjohn123 ,

    Assuming Status is a Text field

    AddColumns(
     'Rebate Expiry Form',
     "Status",
     LookUp(
     "Rebate Approval",
     RebateExpiryID = ID
     ).Status
    )

    @johnjohn123 ,

    Not sure what you mean - AddColumns will bring the (one to one relationship I assume) matching field from 'Rebate Approve'  - Status into the gallery and you can filter on it. I assume both matching fields are of the same data type (Text or Number). Also please tag who you want to respond here - three-way conversations are not productive for anyone.

    @WarrenBelz Thanks for the reply .. so this will be the items property for the Gallery you mean?

    AddColumns(
     'Rebate Expiry Form',
     "Status",
     LookUp(
     "Rebate Approval",
     RebateExpiryID = ID
     ).Status
    )

    and if i write this formula as the Items property for the gallery , will it affect the Gallery built-in features such as the ability to scroll down to view more than 500 items? as Galleries by default are dynamic and they allow us to scroll down to view million of records as we move the scroll down? will this formula affect this feature?

    @johnjohn123 ,

    AddColumns is not Delegable as far as output is concerned, so the total items returned will be limited by your Delegation setting (if it is 500, you will only get 500 records in total after the filter is applied). There is no workaround/solution for this - if you want to bring in a column from another list, this is the only way.

    @WarrenBelz so you mean this what will happen:-

    1) when the gallery first load it will show 100 "Rebate Expiry Form" items and will show the related status correct?

    2) as we scrill down the gallery will kepp loading extra 100 items

    3) so the Add column will only retrive the first 500 statuses?

    @WarrenBelz  based on my test the AddColumns stop the Gallery paging from working, and the Gallery was only able to get 500 items (i know we can expand it to 2000).. but in our case the gallery have 1 million items.. not sure if there is another appraoch ?
