Hi Everyone,

I had a question for the group as I am trying to create an app/process to help users capture document metadata for a file being added to a SharePoint site. The idea being we are trying to have a simple way that enforces them to enter the required metadata on document instead of them just bypassing it via the library. Has anyone had a good experience setting up something that would help accomplish this? Keep in mind the documents could come from multiple sources like an email, a fresh save, drag and drop, or copy of a current document.

Is there an ideal way to handle or manage this type of functionality?

Would anyone have suggestions or recommendations on how to do this?

Combine Power Apps and Power Automate for a Complete Solution

To handle all upload scenarios:

Use Power Apps as the front-end interface for controlled uploads.
Use Power Automate to monitor and enforce metadata entry for files uploaded from other sources (email, manual uploads, etc.).
Use notifications and reminders to ensure compliance.

Work flow

A user drags a document into a SharePoint library.
Power Automate detects the new file and checks for required metadata.
If metadata is incomplete:
- The flow sends an email or Teams notification with a link to a Power Apps form to complete the metadata.
- The file remains in a “Pending Metadata” view until all required fields are filled.
