Using Templates (email templates) in Copilot Studio's Knowledge

Hi all,

I hope you are doing well,

I am looking to use Copilot to draft a email or a report based on some information given to the chat.

I manage to make it work super well If I add a template of expected answer into the "instructions". However, as it is only 8000 characters I would like to find a way to add my Template through my knowledge, but If I do that, it does not understand that even if I mention "use the template in your knoweldge as a template for this analysis".

I would like to understand how "knowledges" work and if it is possible to actually add templates there for to be used by the chat as basis?
What type of instructions shall I add to make this work?

thanks you advance for your time

    Hi,

In Copilot, the knowledge refers to additional context or resources that can be referenced during the conversation. However, these knowledge pieces are typically not directly stored or referenced in the same way a template would be within an 8000-character limit, especially if it's dynamic or doesn't change often.

The current approach requires referencing knowledge or including instructions explicitly within the prompt.

If you need a much larger capacity or a way to store specific instructions and templates, this would be more of a limitation of the 8000-character limit per message in the current system. You may want to explore premium or more advanced plans that allow for higher input character limits or more structured inputs.

    How to Get Best?

    • Template:
      "Dear [Client Name],
Hope all is well... (continue with your template structure)."

The sections to be filled include:

      • Background: [Background]
      • Proposed Scope: [Details on Scope]
      • Fees: [Provide Fee Breakdown]

Please use formal language as shown, and ensure there is proper alignment between sections.
    Prompt is the key.

Please click Accept as solution if my post helped you solve your issue. This will help others find it more readily. It also closes the item.
