Copilot permissions

Hi all,

I've setup a copilot and wanted to restrict access to only a few users within the organization. However, when I go to the bot from the online portal and click the three dots (next to the Publish and settings button) > click share, I can add users but I cannot customize their permissions i.e. I can not revoke their editor permissions (I would like them to be able to view and use the bot without being able to share, configure, edit and publish it).

Does anyone know how I can edit these permissions?

Thank you!

Yes, if u Share it from Copilot studio, it gives the Editor Permissions. . The default behavior is that users who are shared on the bot are often given editor permissions.

To restrict the users, u need to play around with the Security roles in case of you are using Dynamics 365 or Power Platform.
You can assign user roles (such as Environment Maker, Viewer etc.) to limit their access to certain environments and capabilities. Users with more limited roles can access the bot without having permission to edit or publish.

    Thanks.

    • Use Teams for Access Control:

      • Deploy the Copilot bot to a specific Teams channel or group.
      • Only members of that channel can use the bot, but they won't have access to edit it in Copilot Studio.
      • Steps:
        1. Publish your bot to Microsoft Teams.
        2. Restrict access to the channel/group to specific users.
    • Assign Viewer Roles (Power Virtual Agents):

      • If using Power Virtual Agents, you can assign users the Viewer role in Power Platform, allowing them to interact with the bot without editing permissions.
    • Create Separate Bots:

      • For tighter control, create a duplicate bot for viewing/using, while the original bot is accessible only to editors. This ensures clear separation of permissions.
