If I share my app with Everyone in the company, will it actually email all?

Hi. I am curious of this as it seems that everyone can create and share apps, so does that mean that me and all others can trigger emails being sent to all company if the check box for this is checked? Or, is there any setting for managing who can and who cannot trigger emails? Or, does the email only go out to individual users being added, not to groups?

Kind regards

Henning

    Hi @HenningStrand

If you sent an email invitation, everyone with whom you shared the app can run it by selecting a link in the invitation.

    • If a user selects the link on a mobile device, the app opens in PowerApps Mobile.
    • If a user selects the link on a desktop computer, the app opens in a browser.

    Best Regards.

Hi and thanks, but my question was more on the emails going out when you share with Everyone. We have 10000+ users and I do not want to email all of them if the check box for sending email when sharing is not unchecked. So the question is: will an email be sent to all when sharing with 'Everyone'.

    Hi @HenningStrand

Yes.If you can share the App and he can receive the email.

And You can't share an app with a distribution group in your organization or with a user or group outside your organization.

If you don't want to share app to everyone, you can choose to create one group and add the members to the group you want.

I haven't see a way to prevent the invitation email. One solution, however, is to create a transport rule in Exchange that silently drop invitations from PowerApps.

On the other hand, same thing will happen if someone share a document from OneDrive to all and leave the invitation email checked.

Found this for SharePoint. I suppose the same applies for sharing other apps with the 'Everyone' user: https://support.office.com/en-ie/article/users-who-are-in-the-everyone-or-everyone-except-external-users-group-don-t-receive-email-invitations-in-sharepoint-online-bb1d2bbf-768f-4070-b319-69fe6233eab4

Thanks, i havent seen that article before.

I need to test weather powerapps sends an inviation or not when sharing with everyone.

We did a brief test earlier today in our test tenant. Created a small canvas app and shared with everyone, keeping the checked 'send email' setting. Seems like no emails were sent.

The 'Everyone in X' group is not emailed when sharing an App - I would think that to prevent spam-level mail volumes it doesn't do it for the Everyone group.

    Hi @HenningStrand,

Yes, if you scroll down under the users list, you will see a check-box to send or not an email to the person you want to share the application. You may not see the check-box due to the browser or your screen-size. Try to make Zoom-Out (Ctrl + -) or change your browser and you will be able to see it.

    Best regards,

    Carlos
