Edit data in Excel Dataverse Table option is not loading some columns data for one specific table

Hello Team,

I was trying to use the "Edit data in Excel" option for one of the tables in the TEST environment. However, it is not showing any data except for default columns as well as for one column where we have a multi-line text field with huge HTML text data, but not all the data is loading correctly for this custom field too. The number of rows is matching the no of records in the table.

FYI, I am able to use this option for the same table in the lower regions correctly. I am not sure why is it happening only on this particular table in a particular environment. Also, I am able to use this option effectively for all the other tables in the TEST region.

FYI, it was working as expected before until certain point, as part of testing, when I tried to use the "Export data" option, I see some of the columns data is jumbled among the columns for 5 records and FALSE for ID column rather than text data, however, it looks just fine in Dataverse as well as in PowerApps. Not sure whether it's an import to CSV causing this issue.

Let me know if anyone faced this issue before.

Regards,
Srinivas

    Hi @Srinivas

I hope you have chosen the Data verse->Tables->Select the Table-> Data and selected Edit Data in Excel.

If you are able to see some data and not all data in a specific region - Please check if the default view associated is the same in both environments .

Also make sure there are no fields with same display name added to the view. May be the field added to the view is not having data.

If you manage to see some columns with data and not all - either data is not there or you don't have access to those data.

Please add more information to the request so that we can help you better.

@DeviKrishna Thanks for replying. Yes, we are using the same option as you mentioned above. I checked all the views and we do not have any duplicates either. Data is there for all the columns and I can see that in the regular views under Dataverse as well as in PowerApps.

    Regards,
    Srinivas

    Hi @sthota ,

Got it. In that case , please try in a different browser once from In private mode. Sometimes it could just be the cache issue. If the problem persist, please raise a support ticket with Microsoft.

@DeviKrishna  Thanks. Caching was not an issue in this case. Looking forward to creating a support ticket with Microsoft unless if anyone here come across this issue before and have some suggestions to fix this issue.

We are using multi-line text fields in our Power apps and have set the length to allow 1 million characters. With the application itself, there are no issues handling this data. HOWEVER - when we try to export to excel/edit data in excel - we are seeing an issue with the excel cell character limit. (~32,000 characters)

We found that a couple of fields that are multi-line text have beyond this character limit while we were debugging this issue.

Looks like that's a hard limitation for Excel:
    https://support.microsoft.com/en-us/office/excel-specifications-and-limits-1672b34d-7043-467e-8e27-269d656771c3

However - dataverse allows 1 mil characters. So - if we allow that many characters in a field in powerapps- then we are effectively cutting ourselves off from being able to view/edit the data in excel feature that is embedded in dataverse.

The solution from @finseths is here for your reference.

I can click on "Edit Data in Excel" and then remove the columns that are causing the issue.

Step 1: Click Edit data in Excel

Step 2: Once excel opens - you can click on Settings icon in Data connector

Step 3: Select Data Connector > Enable Design

    Step 4: Click on Design

Step 5: I can now edit the fields i want to display in excel. I can then remove the problematic fields (Two fields that have a maximum length from view). We can edit this in dataverse forms if needed.

Step 6: I can now see all of the data that i may need to edit

    Thanks,
