PowerApps: Access Permission Error in Excel Online

"I am creating an app that simply displays specific data from an Excel table. The data in the table is not edited through the app. I've connected the Excel table using the 'Connector > Excel Online.' I've shared this app within my team, aiming for each team member to only see their own data. However, I don't want them to access the original data source, so I've hidden the sheet and shared the Excel file with 'view-only, no download' permissions.

However, team members are encountering an error when attempting to retrieve data from the network: 'An error occurred while retrieving data from the network: The user doesn't have permission to open the workbook in edit mode. Please correct the permissions and try again.' Is there a solution other than granting edit permissions?"

    Hi @MM20230911 ,

     

    Have you tried setting up Workbook or Sheet protection? I'm not sure if this works, but worth trying. After this has been set up, you should give the users Edit permissions to the file which, in theory, should get the desired result:

    Ps. Another good reason to not use Excel as a data source.

    I've tried protecting sheets and workbooks, but it seems that when I apply protection, PowerApps access results in an error. Even simply hiding a column in a table causes PowerApps access to throw an error.

    I'm considering that sheet and workbook protection might not be suitable for my current scenario. Is there any alternative method that I can explore?

    Hi @MM20230911 ,

     

    The best alternative I can think of is to migrate from Excel to a SharePoint list. The easiest way to do that is to create a new SharePoint list from Excel:

    Once completed, give the users read-only access and swap data sources in your app.
