Saving & Storing Individual Data

Hey,

I'm a school teacher and am looking to create an app that my pupils can use for Profiling. Basically, pupils go 2 or 3 times a year to identify any achievements they've had in class and also set new learning targets for the future. We've always used paper copies for this in the past but I'm looking to cut back on the printing and create something that looks engaging for my pupils to use. I've been creating a few trial apps and generated a rough idea of one which would work (layout wise). I've now got a few queries about using it...

a) is it possible that the app can be used by individual pupils so they can only see the data/info that they have submitted - almost like logging in to their own profile with their own data,

b) can the info/data pupils input in the app be saved - e.g. they give an example of using creativity in class and input this. Can they then save it, leave the app and then log in (possibly a few months) later and be able to see what they had entered before?

If these are possible, would you maybe be able to help with how I go about it too please?!?!

Many thanks in advance,

Ross

hi @Ross13 welcome to the community.

Both of your requirements are indeed possible.

    a. within SharePoint (i assume you are using SharePoint Lists) you can set the list security so that a pupil can only see and edit their own entries.

Go to the List and select Setting and click on List  settings

Once in settings select advanced settings

In the Read access portion Select Read items that were created by users and create items and edit items that were created by the user

Click OK and users will only be able to see their own items.  Please note this is for site members, owners will see everything, make sure students are site members not owners

    b. the data the student enter to the app can be saved to SharePoint and retrieved when they open the app again.

have a look at Shane's video PowerApps Save Data - Patch, Collect, and ForAll - YouTube

If you need more info on building the app, reach out ;).

    Hope it helps

This is amazing, thank you so much!! Made my day!

I've not managed to try it yet - been a very long week - but will get on it over the next few days.

Massively appreciate your feedback and help... hero!

Hiya! Thanks again for this. Going to ask quite a forward question, as I think this may be beyond my capabilities, is this something you would be able to do? If so, how much would that cost?

No problem if not, but thought I'd ask as our school & local authority IT mangers aren't sure with Power Apps.

    Thanks in advance,

    Ross
