I have been getting these errors for few weeks now. I have tried reducing the output from the sharepoint list with bespoke list view of the minimum columns. Also using dataverse with 'select columns' and 'Row count' - but these methods are making the agent too complex and/or not accurate enough.

I would prefer to be using dataverse over sharepoint list as i feel that is more efficient. has anyone else gpot dataverse 'list tools' error 'The request is resulting in too much data to handle' - and advice

This is a platform limitation, not your build. The only reliable fix is pre‑filtering the data at the source so Copilot never loads the full table.

The Dataverse error “The request is resulting in too much data to handle” happens because Copilot Studio tries to load the entire into memory. Even if you use Select columns, Row count, or views, Copilot still pulls the full dataset first — which triggers the limit.

Try these:

Use a Dataverse view that returns < 500 rows and only essential columns.

Add a copilot_scope (Yes/No) column and filter on it to shrink the dataset.

Apply server‑side OData filters (date, status, owner, category).

If the dataset is still too large, let Power Automate pre‑filter the data and return a small JSON array to Copilot.

The error occurs because Dataverse cannot handle large unfiltered or high-volume queries in a single request.

Reducing columns alone is not sufficient.

The correct approach is to apply strong filtering at the source, enable pagination, and process data in smaller batches.

For large datasets, use incremental queries (e.g., based on ModifiedOn) or move reporting workloads to tools like Power BI instead of querying Dataverse directly.

Hi @jpreston4,

One silly question (if you don't mind) - did you complete creating ant agent earlier making your knowledge source either SP or Dataverse, or this is the first time?

If it is the first time - I would suggest stay in SharePoint (as you were already there)- create a simple list/or a simple document library(2/3 documents are there). If it is a list - asses how much textual and complex data are there. Please note that agent works on plain data better than complex data (meltiselect, choice, etc.). As I said - simple starter - proceed with the all sptes and test you agent. Once you are successfull - you got the road now. With huge data as knowledge source you will gain pain. Now you increment and test kind of trial and error. Documet every step - what you do.

If it is the first time and your knowledge source is Dataverse - I would recommend to practice and follow this article. Once you are done either one or both - you will be heading to know all the depedendecies and resolution.

If you are already completed creation of some agents backing any DB/SP/Dataverse - then I suggest to follow the guides that other members have already mentioned.

Baed on your case - my first suggestion is start with a very small chunk of rows and then increase as needed.

Note: If its SP and if its document library - each document should not contain not more that 3/4 pages initially.
