Private SharePoint List

I have created a custom SharePoint list as a private list. I am the only user that has full control on that list. I have 6 test items on that list and have created a basic PowerApps form for the list. As an owner if I open it I can see the list items through the form.

I share 1 item with a test user and send an email to them. When they open the link, the form tries to load and then they get a "you dont have permission for this app". They can request permission and as a owner I get the request email, but the PowerApps site has an issue loading the permissions page.

If the test user goes back on the breadcrumb of the list, then they can see list and the only item that has been shared with them.

We are all on the same tenant but is there is a reason why the test user cannot see the form?

Your users will need at least read access to the list in order for PowerApps to gather information needed about it to use it.

I hope this is helpful for you.

    Hi @RandyHayes ,

Thanks for the response, the test user does indeed have read access to the list. If I give them the url of the list, they can see the list and the only record that is visible to them. Thats the bit I cannot understand. In the list they can see the columns with the data but the form will not render with the error message of permission to the app!

Can you explain the following part a little clearer from your original post?

I share 1 item with a test user and send an email to them. When they open the link, the form tries to load and then they get a "you dont have permission for this app". They can request permission and as a owner I get the request email, but the PowerApps site has an issue loading the permissions page.

    Steps that I took

    1. Create a custom list

    2. Stop inheriting permissions to the list so that only you can access it.

    3. Customise the form with PowerApps

    4. Add few items to the list

    5. select 1 item in the list and click on share. Add a second user to that item to view the item

    6. 2nd user will get an automatic email notification that you have shared the item. They click on that link (and for me) the user cannot see the item because of an issue with the form

    7. Send the 2nd user the URL of the SharePoint list. They will be able to see the list and only the item that has been shared with them but when they click on the title field for the item the form cannot be rendered.

    I hope that is clear

    Got it.

For that level of Item Sharing, your users will need to at least have Read access to the list.  Otherwise, the issue is with the permissions to read and open the customized form, it will not have it without read access.
