Copilot Studio - SharePoint Knowledge Source Limit

Hello All,

Consider a scenario where we are building a Copilot that is going to use SharePoint site as knowledge source. The Customer has around 1200 documents which will be uploaded inside SharePoint and those are the knowledge source.

1. Does anyone knew what is the Limit to the number of documents that can be added? - We can put inside any number of documents inside SharePoint, but does copilot has any limitation when processing?

2. Is there any limit in adding the SharePoint sites to Knowledge source? - Currently we try to add 20 links inside knowledge source and copilot studio allows to do so.

3. Any best approach or practices to handle this large number for documents?

4. Are there any official documentation from Microsoft to support this?

Thanks in Advance.

Thanks,
Vinoth S

    As far as I’ve experimented:

        1.    Does anyone know the limit on the number of documents that can be added? We can add any number of documents to SharePoint, but does CoPilot have any limitations when processing them?
=> There is no limit to the number of files.

        2.    Is there a limit on adding SharePoint sites to the knowledge source? Currently, we’ve tried adding 20 links to the knowledge source, and CoPilot Studio allows this.
=> Exclude “https://” for better performance. The indexing performance with SharePoint is relatively low, so you may have to wait days before CoPilot can read all the files. For 1,200 files, it could take weeks.

        3.    Any best practices to handle this large number of documents?
=> My approach is to create multiple agents, each focused on a single topic. Then, create a new topic and let users choose what they want to ask.

        4.    Are there any official Microsoft documents to support this?
    => https://learn.microsoft.com/en-us/microsoft-copilot-studio/knowledge-add-sharepoint

regarding this, how can you tell when a file, or set of files, have been successfully indexed? Once a user drops a few new files into SharePoint, or updates an existing file, how do we know it’s available as knowledge within the copilot?

    thanks in advance!
