Is PowerApps the right tool? Building forms

Hi all,

I am looking to build a (simple) platform where users should be able order products through a form, and when they are done with inputting their details (such as name, country, adding a few rows of products) should be submitted to a larger sharepoint list or similar. In this way we can get a mass uploadable file that could be uploaded into our system.

I would like to have some input fields to be (1) dropdown, like selecting your country, and (2) the product fields to have a lookup-function so the users can write in a material code and the name will be "looked up".

Right now we are using offline excel files which every user downloads and through a macro saves the excel file in a location with a unique name.

I hope you get my request, and I have tried googling but not really become sane over what would be the best and easiest combination to achieve this.

Thanks in advance!

If you don't have much coding background and just want simple form that can add edit and update values to your sharepoint list. Got to your sharepoint list and select Create an app. Powerapps will create form for you based on the fields in your sharepoint list

    Hi @Anonymous

Power Apps would be an ideal tool for building a product entry form, particularly if your target data source is SharePoint.

Your app could contain 3 SharePoint lists - Product, Country, and MaterialCode. The easiest way would be to create look up columns in your product table that reference the Country and MaterialCode lists.

When you build an app, the data entry form for the product list will include a dropdown for the country field. You can add a Combobox control for the MaterialCode field. A combo box includes search functionality that enables a user to enter and to search for matching material code records.

Your users will need to be 'internal' users with the necessary Microsoft365/Power Apps license. If your users are external users, you can consider building an app with Power Apps Portals.

Hi, thank you for your suggestion! It does indeed sounds interesting and something that could be very useful. Is it possible to feed a Sharepoint list (like the list of materials and material descriptions) from an Excel file somewhere?

    Hi @Anonymous

It's possible to create a SharePoint list from an Excel spreadsheet by importing the data as a new list.

If the Excel spreadsheet is the master copy of meterials, you could keep the SharePoint version up to date by writing a Power Automate Flow.

Hi timl, ok thank you very much for this!

I will see on youtube if I can find any nice tutorials for getting started. Let me know if you know any good ones suitable 🙂

EDIT: also stupid question, but is it possible to create an app suitable for desktop use? Not only for mobile use.
