Good day!

I'm a project manager representing the owner and I'm looking for a solution to efficiently manage different project elements. Currently, I don't have access to project management software and everything is done by email exchange. I'm convinced that I could work more efficiently with the tools offered by Microsoft 365.

A concrete example:

The contractor submits a technical question with an attached document. A response is expected from the engineer within a predetermined maximum time. There will sometimes be exchanges between the two parties to reach a conclusion on the question. I want to be able to track who needs to take action on the item. The number of days since the start of the question and the number of days since the last action. I'd like to be able to link and save the documents that would be traded as part of this issue.

For a given project, I have different categories of items to track: technical questions, shop drawings to be approved, change requests, etc. I'd like to be able to track who needs to take action on the item. I want to be able to have reports of the different elements to follow. E.g.: by stakeholder, by category, etc.

In short, there are several parties involved, several follow-up categories, and a very large number of items for each category. Ideally, the documents in each category would be accessible to everyone via the web.

A Microsoft 365 years SharePoint agent suggested the following to me:
"You can meet your needs with SharePoint Online List, Power Automate, Power Apps, let me briefly introduce them:
SharePoint Online List: Allows you to add multiple items and columns to the list with the required metadata.
Power Automate: Automates tasks such as approving and updating columns based on the values of other columns in the list.
Power Apps: Integrate a SharePoint Online list and create a customized form to suit your needs.
List integration with Power Automate and Power Apps requires knowledge of the Power Automate and Power Apps custom flow. I therefore suggest you post your problem in the Microsoft Power Automate - Power Platform Community and the Power Apps - Power Platform Community (microsoft.com) to get detailed help from the experts."

So I'm turning to this community to help make my way to a solution.

Thank you in advance for your answers; I look forward to reading your suggestions!

Best regards, Elene

    Hello,

I really recommend you guys hire a consultant to help you. The forums really aren't a replacement for that.
