Questions about SharePoint knowledge source limitations and performance issues in Copilot Studio

Hello,

I have two questions regarding the use of SharePoint files and folders as knowledge sources in Copilot Studio:


1. Limitation on SharePoint file size for knowledge sources

According to the documentation below, if the maker does not have a Microsoft 365 Copilot license in the same tenant as the agent, due to memory constraints, only SharePoint files smaller than 7 MB can be used for generating responses.

My understanding is that the 7 MB limit applies to each file individually. So, if a SharePoint folder contains only files under 7 MB each, is it possible to load the entire folder as a knowledge source without issues, regardless of the total number or cumulative size of the files? Or are there other limitations I should be aware of?


2. Copilot Studio UI performance issues with many uploaded files

When I upload a large number of files (around 100) as knowledge sources via Copilot Studio Admin page > Support Info > File Upload, the admin interface becomes extremely slow, making it very difficult to add or remove knowledge sources.

Due to this, I try to minimize file uploads and mainly use SharePoint as a source.
Is anyone else experiencing this issue? Are there any recommended workarounds or solutions to improve the performance of the Copilot Studio admin page when handling many uploaded files?

    Answering your questions:
    1) As long as files are less than 7MB, Copilot Studio should be capable of indexing as many documents has you have in the doc library, although indexing thousands of files may take days or even weeks depending on the file structure.
     
    2) Instead of using the Copilot Studio UI you could do the same programmatically, using a Power Automate flow. Please, check this blog post by Matthew Devaney on how to do that: How To Add Copilot Studio Knowledge Files Using Power Automate
