Power Platform Licensing for Application with Internal and External Users

Hi everyone,

I'm planning to develop an application for my organization using Power Platform. My organization has an Office 365 E5 plan.

The application will have the following users:

  • 200 internal users (with O365 E5)
  • 300 external users (without O365)

Based on my analysis, this solution will require:

  • Dataverse for the database
  • Power Apps premium per app plan for internal users at $5/user (since Dataverse connections require premium)
  • Power Pages for external users at $200/100 users (authenticated user license)
  • Power BI Pro for data visualization
  • Power Automate for notifications
  • SharePoint to store files uploaded from Power Apps

I have some questions regarding licensing:

  • Can Power BI Pro and Power Automate from Office 365 access Dataverse?
  • For file uploads, can we use SharePoint that comes with Office 365 without additional costs? Or do we need to use SQL Server? If SQL Server is required, what is the licensing scheme?
  • Are there any other considerations I need to be aware of in order to provide this solution?

I find the licensing issue a bit confusing.

    #1: Can Power BI Pro and Power Automate from Office 365 access Dataverse?

    Power BI and Power Automate can but you need premium licenses. If the flows are associated with app then you donot need additional license if not you need premium licenses for Power automate.

    You donot need SQL if you wanted to use SharePoint. But make sure you plan for archival of these if they are too big.
