Room Booking System

Hi Internet

I am trying to build a power app to book rooms using the room resources we already have.

I need users to be able to select the room, time, date, select who needs to know about the booking and any additional information. Then the app books the room in the calendar of the room resource and person booking, then emails the relevant people with the additional information, eg IT department if IT is needed or another department based on what is ticked.

I started off with the template which would work great. However I need to be able to send emails and possibly add other features, which I do not think is possible as I cannot find a way to add connectors.

I then went down the route of creating the app from scratch. However I cannot find the connector to pull the room resources.

My questions are:

1. Can the template be modified in the way I need (additional connectors or send emails)?

2. What is the connector needed to pull room resources?

3. Alternative ways to complete the above?

Thanks in advance for your assistance!

    Hi,

You can send emails directly from powerapps. Add the  Office365Outlook connector and insert a button.

    OnSelect:

    Office365Outlook.SendEmailV2(

         someone@company.com,

         "This is the Subject",
         "This is the Body"
    )

    Hi JD,

    Thanks for your reply.

You are correct this is possible and I have done this in other apps I have created. However when using the template there is no ability to add a connector.

    Thank you

    You're right, I hadn't noticed it. Thanks 🙂

But I think the connectior you need is there already. Is this the template you are using:

    Hi JD

That is the template and emails are possible, thank you!

I'm assuming there is no way to see what connectors are on the template or add more.

    Thank you

Did you end up achieving this?

I am having similar problems with staff being unable to view the room calendars and make a room booking through one screen.

I tried showing them how to add the rooms to their calendar view, but unfortunately, not everyone's that tech-savvy 😞

I also tried the room booking app, but the UI doesn't look good enough, and when I make a booking, I can't add the event title and body nor add users to the calendar event. When I did book a blank event, it also books at a different time zone. 😕

    Hi @JibblyGibbly

I ending up scrapping using the Booking Room Template and creating my own from scratch, this allowed me to use all sorts of connectors. It can do the following currently:

    • Filter Rooms by location
    • Pull rooms from resources in Exchange
    • Add title of booking and description
    • Start/finish time and date of booking
    • Predefined times (we are a school so have lesson times)
    • Invite additional attendees
    • and a few other features

It was a hassle getting the time zone correct but I did end up getting it working. If you are planning to go down this route I would suggest starting from scratch as you have more flexibility. In the not so distant future I am hoping to add the following:

    • Booking date more than 1 day
    • Repeat Bookings
    • Sport spaces
      • This will have additional filtering as 1 large Hockey court will have 2 small hockey courts and 12 tennis courts within it so need to prevent overlaps.
    • QoL additions

If you want to have a further chat about this feel free to drop me a message.

    Regards

    CGibson

    Hi Gibson,

Thanks for your reply. Would you be okay with sharing the app with us? I can DM my work email address. We are not-for-profit in Victoria, Australia. I am working within their IT team to bring the organisation up to speed on the tech.

I implemented room booking through Outlook, but staff seem to find it difficult to use the scheduling assistant to see if the room is available or add rooms to their calendar view. Manually doing this for 200+ staff is getting very difficult. I am exploring an option like the room booking power app to pin it to the Teams app so staff can only see the rooms available and book.

    Thanks in advance.

Is it possible to get a copy of this, not really done any of this before my self, and trying to set up meetings for our school, as we have just had a 2nd school move in to our building and we need a booking system for the meeting rooms, as now with two schools in one building shared space like the meeting rooms are hot sort after..
