Dataverse knowledge - How to exclude columns and how often does it re-index?

I nearly have Dataverse working well, but there's a couple of issues:

1. When responding to questions about the status of items, Copilot will often use the inbuilt status column which is not relevant. Our codes are open or closed, not active/disabled. Has anyone figured out a way to get Copilot to exclude columns? I've tried adding all sorts into the description and synonyms to tell the LLM not to use the column without success.

2. Whilst new columns show in the knowledge source preview, Copilot doesn't seem able to utilise the data - I've ended up having to drop the table and re-create. Is there anyway to force Copilot to re-index a knowledge source? Or does anyone know how often it tries to do a full index of the dataverse table?

    Hello,

    1. Have you tried to use Instructions? Something like: "use StatusXYZ column for checking the row status, instead of *status* column".
    2. It reindexes the data on a regular basis for sure, but there could be the case that table metadata is never indexed after it's added as a knowledge source. In general, it's a sickness of many MS products like Power Automate that metadata is not getting updated correctly. So I suggest you to fully prepare the table and then add it as a datasource.

In case of any other questions, let me know. If the answer helped you, mark it, so that others can benefit from it.

    Best regards,

Thanks Arthur, yes I've adding instructions pretty much everywhere possible in the Dataverse knowledge source but couldn't get it it to exclude the column.

In case it helps anyone else, I created a 'Custom Knowledge Source' to accompany the Dataverse knowledge source and it works really well now - To the point that in the prompt I can ask it to respond with a table showing exactly the columns I want.

It sounds like the functionality you're looking for will be in preview Oct 2025.
