How to Revoke Access for a Custom Table Record When Lookup Column Value Changes in Dataverse

Hello Community,

I am working on a Dataverse solution where I have a custom table with a lookup column referencing the systemuser table. I have implemented an unbound GrantAccess action to share records with specific users based on the lookup column value.

Now, I need to handle a scenario where, if the lookup column value changes (e.g., a new user is selected for the record), the access granted to the previously selected user must be revoked.

I would like to know the best ways to achieve this functionality. Specifically:

  1. How can I programmatically revoke access for the previously assigned user?
  2. Are there any best practices for managing access in such scenarios to avoid redundant sharing or permission issues?
  3. Can this be handled using Power Automate, plugins, or any other recommended approach?

I would appreciate detailed steps or code examples if available.

    The best way to do this is using a Flow. Have it trigger whenever the database has a record created / modified / deleted and you can set to the scope to create / modified as deleted.. I mean do you care since its gone?
     
    Now, just to be clear before I answer, in this case you have a parent / child relationship (and I dont know what the hierarchy actions is set too).
     
    Are you granting access to the child table, or the parent table and are you specifically only granting access based on Row data?
     
    I mean.. normally you would use roles and or + aad groups and or + access Teams / Owners, But in your case it shoulds like Joe needs access to item 1 , 55, 192, 5560 (pretend these numbers are the row guids).
     
    And when X happens to 5560 you want to remove them from Row 5560
