Using Ai to read documents then extract keywords.

Good afternoon

I would like some advice on what issues I am likely to run into with my planned process.

 

I have a sharepoint folder where documents are uploaded. They are mostly pdf, however there are some ppt and word files. 

When a document is uploaded, I want that document read, using Ai, extract keywords from the document.

the keywords then go to a file where I will use PowerBi to display searches on key words or phrases.

 

What issues am I likely to come into and can you give me some pointers on the powerautomate flow that may help me?

    Thanks for reaching out here!

    AI Builder could help you extracting the key phrases (most relevant words and phrases from a text) and is also greatly integrated with the Power Platform. Here is what you could do:

    • Create a Power Automate flow with a SharePoint trigger (For example "When a file is created in a folder")
    •  Incorporate an AI Builder action to extract the text:
      • If you need to extract the whole text without isolating some parts of it, you could use the action "Recognize text in an image or a PDF document"
      • If you need to extract text in a more complex documents (with fields, tables, parts you would like to skip, ...) you could use the custom Document processing model. You need first to create the model. See: Overview of document processing model - AI Builder | Microsoft Learn. Once your model is created, you can use the action "Extract information from documents" in your flow.
    • You can then infer the keywords from the extracted text using the Power Automate action "Extract the key phrases from text".

     

    Then depending on your needs you can include actions to add detected key phrases in files in SharePoint or add within SharePoint text columns.

     

    With AI Builder you also have the possibility to extract categories or entities. Learn more by looking at the AI Builder documentation: AI Builder documentation | Microsoft Learn

     

    The thing you should know is that for now AI Builder PDFs and images and doesn't support Office documents.

     

    What we advise you is to start experimenting with Power Automate and AI Builder to see if it fits your needs. Then don't hesitate to ask questions in this forum and we'd be glad to help.
