In General: SharePoint and Approval for Documents

Hi,

I know there is a possibility to replace SharePoint Workflows for Document Approvals like in 2010. But I miss some things and it is hard to build everything by my own and find every time a way around a basic functionality in SharePoint. But there are some things, they make SharePoint not usable anymore for an document management system. Because this functionalities where available from scratch before and now you have to build huge and complicated flows to rebuild old functions.

 

- Automatic starting a document approval workflow after creating a major version (in SP2010 or later you set an approval workflow for default. This workflow started automatically after creating a major version of a document).

- Tasks list about the Approvers. It is not possible to have a look on the status, what was possible before. You just created a task in SharePoint for the Approver - it was possible to see the status there for every task.

- Assignment Stages via Form. Allow to create Assignment Stages with closeable option sequentiell or parallel

- Start the approval workflow from Document List (submit for approval - the button is there..but where is the workflow/flow behind?)

- Where are the approval comments, they are not shown anymore in the version history.
- Stop when document gets checked out or modified during a running approval flow

I have now a custom approval workflow created in flow. It works fine, and the possibilities are grate. But to have a log about the published files, it was necessary to create a log list where the outcomes are filled in. This is a simple list where you can see the document name, the linked ID by lookup, the version number and the approver response (comments + name).

Is this really the workaround for the old publishing workflow from 2010? I am still missing the task list, to see all open tasks for this approval and maybe also get the information if a user reassigned a task to another person.

     I hear you.  I'm currently trying to set up workflows for SPO so we can continue using it as a DM system, but it's now incredibly complicated to do something that used to be so easy.  I wish they would retain the Workflow option for those of us that still need it.
