Email Notifications to Multiple Users for MS Forms

Hello! 

 

I have a question about Microsoft Forms. I created a few forms to streamline the onboarding process at the company I work for, and I would like to make sure that both my boss and I receive an email notification when someone completes the form; however, after searching I found out that only the owner of the form can receive an email notification. Then I saw a threat that Microsoft Power Automate could help send Forms responses email notification to other users through the "Send an email" action and adding the multiple people that need to be informed about Forms new response. I am just not as tech savvy and need some guidance on how to set this up. If someone could please provide some step-by-step instructions, that would be greatly appreciated.

    @el7 You can refer to this section of a recent YT Tutorial I uploaded where I cover how to create an Email Key. This email key can then be used to send an email to specific recipients based on a selection from your MS Form.

    In this Microsoft Power Automate Tutorial I’m going to cover where file uploads from your Microsoft Forms are saved. I’ll also show you how attach the uploaded files to an email and how to dynamically name the files and customize the recipient of the email based on the selections made in your Microsoft Form. I will also cover how to handle responses that don’t include any file uploads.

     

    I’m not going to cover how to get the values from your form since I've already covered that in a different tutorial.

    Hello,

    I got all the steps until 3, but then there was no Dynamic content pop up appearing- what should I do?

    Hey

     

    I would do it like this:

     

     

    1. Go to https://make.powerautomate.com/ click on "My flows", "+ New flow" and "Automate cloud flow".

    2. In the Pop-up window, give the Flow a name and search & select the Trigger "When a new response is submitted" from "Microsoft Forms".

    3. Select the form in the "When a new response is submitted" trigger, click on the "+" sign or the "+ New step" button below the trigger action, search for "forms" and add the "Get response details" action by clicking on it.

    4. Select the same form again under "Form id" and click in "Response id" and select the "Response Id" from the Dynamic content" pop-up that appears.

    5. Click the "+" sign or "+ New step" button below the "Get response details" action and search for "email" and add the "Send an email (V2)" action.

    6. You can now add multiple people in the "To" field and if you want (optional) add some information by using the Dynamic content values from the "Get response details" action in the Subject or Body of the email.
