Email not getting triggered when a new appointment is created

I need an email or a notification when a new appointment is added to the required or optional attendees. Its not happening even after creating a workflow with the following steps:

 

Note: All the email addresses i am addressing to on the Required field is valid.

    Hi @Teresa24486,

    A few follow-up questions:

    1. Can you currently able to send email from CDS? This would mean is not an email/Exchange setup issue, if it is then there are a few things you would need to configure to enable outgoing emails. Apologies for the many links below, but these are the simple steps.
      1. Ensure exchange service-side synchronization is enable and working aka connected to Exchange Online. This should automatically been done upon provisioning the instance unless another admin changed it.

      2. If your environment is configured that only specific users can send emails, then ensure the mailboxes of those specific users are approved to send outgoing emails:
        1. "Email processing for unapproved users and queues" setting: https://docs.microsoft.com/en-us/power-platform/admin/system-settings-dialog-box-email-tab
        2. Approve email: https://docs.microsoft.com/en-us/power-platform/admin/connect-exchange-online#approve-mailboxes
      3. Ensure the mailboxes of those specifics users that are allowed to send emails are enabled and working:

      4. Check if your environment should allow outgoing emails for only known contacts/users or can send to unknown emails.

    2. If you can send out emails in other scenarios, do the recipients have a valid email address?
    3. Do this workflow always fail or it succeeds and just never sends out emails?
    4. It can be related to your appointments/scheduling issue from your previous posts...

    hi @EricRegnier , 

     

    The above resolution worked for my account. But it doesnt work for my colleagues as expected. I follows the same steps and it looks the same for my colleague :

    when i tested for my mailbox it worked, the same isnt working on theirs.  Approving emails is required here? (i dint do it for my account) Not sure what im missing. Please advise.

    User gets this email in his mailbox but not the worklow emails.

    On another note , not all users are there in the All mailbox list; if we have 500 users only 100 are shown. Please shed some light here.

    this issue has been fixed!! Pending email addresses were approved using a global admin account.

     

    Question here is does the dynamics mailbox require an additional license? on the mailbox, it says- tracked to dynamics 365; where apart from the mailbox does it get tracked?

    Nice! Yeah that was step 1.b above.

     

    The mailbox does not require additional license, but to track to D365, the user must have a valid license assigned. It tracks it in D365 by creating a new email activity record in D365 and attempts to resolve the recipient with email enabled entities (e.g. contacts). You can see the email activity via the timeline pane, my activities in the sitemap, advanced view, etc. If the user chooses not to track then the email will not be created in D365 and will stay in Exchange/O365.
