Good day Power Automate community,
A question from a Power Automate amateur here....
I was trying to build a cloud flow to send a weekly teams message to a different person each week according to the schedule order from a MS Excel (schedule) spreadsheet which is saved on our MS Teams SharePoint channel.
Sample spreadsheet as below:
Presentation Date | First Reminder Date | Second Reminder Date | Presenter Name | Presenter Email |
Tuesday, 16 April 2024 | Tuesday, 9 April 2024 | Monday, 15 April 2024 | Person1 | person1@mail.com |
Tuesday, 23 April 2024 | Tuesday, 16 April 2024 | Monday, 22 April 2024 | Person2 | person2@mail.com |
Tuesday, 30 April 2024 | Tuesday, 23 April 2024 | Monday, 29 April 2024 | Person3 | person3@mail.com |
Presentation date is every Tuesday and there is only one person scheduled/rostered for each presentation.
The first set of reminders (via MS Teams) are sent to the corresponding scheduled/rostered person one week before the presentation date and the second set of reminders (via MS Teams) are sent to the corresponding scheduled/rostered person one day before the presentation date.
Example: First reminder via MS Teams to Person 1 is to be sent on 9 April 2024, which is one week before the actual presentation date of 16 April 2024.
Second reminder via MS Teams is to Person 1 is be sent on 15 April 2024, which is one day before the actual presentation date of 16 April 2024.
First reminder via MS Teams to Person 3 is to be sent on 23 April 2024, which is one week before the actual presentation date of 30 April 2024.
Second reminder via MS Teams is to Person 3 is be sent on 29 April 2024, which is one day before the actual presentation date of 30 April 2024.
etc....
Please let me know if further clarification is required.....
From my understanding two separate sets of scheduled cloud flows should be required for the two sets of reminders.
I tried using 'recurrence', 'Initialise Variable' by using week number integer starting from value 1, and also ' list rows present in a table' however I just could not have the workflow trigger to pick the fields in order, one week after another....
Secondly I cannot use 'post message in a chat' directly after the above mentioned steps, since under the 'group chat' I don't have a Conversation ID for the group chat.
Any insight and advice on how to build the flow would be greatly appreciated since I also have other process which I can replicate using similar workflow, once this basic one is set up successfully.
