Hi,

I am evaluating Flow and PowerApps for a project I am working on.  I wanted to ask about the license and permission issues with flow and power Apps

I have a flow that sends and email and is triggered through PowerApp.   I created the Office 365 Outlook email activity, and specified service account1 user in the connection.

The power app is published on a SharePoint site page and is shared with everyone in the company.  So when a user "UserA" logs in, he is asked to sign in Office 365 Email account on the PowerApp screen.

My question is what credentials is the power app expecting there?  Credential of UserA or Serviceaccount1.  Second question is irrrespective of what is entered, whose account will be used to send email Serviceaccount1 or UserA?

Third question if it will use the account of Serviceaccount1, does it matter if UserA has license for Outlook for Office 365.

Further when I replaced the outlook office 365 activity with gmail activity and entered a gmail account Account1@gmail.com in the flow, the power app was asking to sign in and give permission for gmail.  So it is mandating the user to log in with Account1@gmail.com to proceed?

Re: Allow Permissions in Flow and PowerApps

Both PowerApps and Flow utilize the account(s) dictated by the Connectors utilized within them. The PowerApp and Flow themselves, run under the credentials used to create them.

It is not currently recommended that Service Accounts are used for Flow or PowerApps, but if they are they must be licensed for whatever connectors they are using.

If you setup Gmail under Data > Connections within Flow, the credentials entered there are the credentials used by PowerApps and/or Flow.Connections.png
