Hello everyone,

As part of a project with my company, I would like to create a Power Pages site that allows multiple users to securely access the platform using individual credentials. Each user would have access to the same information, personalized with details relevant to them (e.g., their name).

The purpose of this Power Pages site is to enable each user to complete one or more forms, which would then be sent via email to specific addresses using Power Automate. Currently, we are planning for 10 users.

I am considering subscribing to the "Microsoft 365 Business Basic" plan. Would this plan allow me to create a Power Pages site with secure access for users? How can I best implement this project using Microsoft 365 Business Basic? If not, what alternative approach should I consider for building a unique site with individual user access?

Additionally, I have the following questions:

  1. Are there any licensing or subscription requirements specific to Power Pages that I should be aware of, given my project's scope?
  2. What is the most efficient way to integrate Power Automate to send forms to predefined email addresses?
  3. Would I need additional tools or features (e.g., Dataverse) to handle form submissions securely and manage user data?
  4. If the number of users increases beyond 10 in the future, how scalable is this solution under the selected plan?
  5. Are there best practices or templates for setting up secure, user-specific access on Power Pages?

    Business Basic would not have use rights to create or access the Power Pages Site. Your best option would be to discuss with your Microsoft Partner that handles your licensing as various products do have use rights - in the first instance you can refer to the Power Pages Licensing Guide, link is on this page https://learn.microsoft.com/en-us/power-platform/admin/pricing-billing-skus.
     
    All of your users creating or access a Power Pages Site will need appropriate licensing.
    Dataverse is the backend of your Power Pages Site, all data submitted on the site will be stored in Dataverse (and if you are going to have authenticated portal users their Contact record will also be stored there).
    Power Pages has been used for many large projects with in excess of thousands of users (but you will need to have the appropriate licensing - could be multiple license packs required).
