Flow to download Excel file from MS Forms to Sharepoint folder

Posted on by 17
Hi,
I'm new here. I'm trying to use Power Automate to download an entire Excel file from MS Forms, which I am not the owner of (my colleague shared it with me), and save this Excel file to SharePoint. However, when I use the flow below, I cannot open the file due to the file format. Can someone help me with this?

    Hi @FLMike,

Based on your suggestion, I checked the input and output, and I was able to solve the issue myself.

In my previous flow, I used the 'body' output from Get Response Details in the Create file step with the extension .xlsx. However, the output looked like this:

I believe the issue was caused by this format because the created file wasn’t recognized as a valid .xlsx file. It seems I needed to use the json method, as you suggested, to parse the content or something similar. However, the content of this output wasn't what I wanted - it differed from what I get when I manually download the Excel file from Forms.

So, I tried another way, without using json or get response details, just simply using Send an HTTP request to SharePoint to download whole file and solved it.

Your suggestion of checking the input and output really helped me a lot, thanks!

    HI,

Can you please share the flow Run, with the error.

To me you are trying to download the contents of an attached file, to a MS Forms Question.

To do that you need to get the Contents after you do the Get Response Details, which requires that your use a json(questiongoeshereformat)

Can you share your Inputs and outputs of the Flow Action please for Create File. My guess is you are trying to create an excel file, but you aren't copying the right data to it, hence it thinks its corrupted.

Hi @creativeon (sorry, I did not find the reply button on your comment)

It seems that the form my colleague shared with me is on her OneDrive, and I don't have access to it. The Forms I have shared look quite different from yours. I honestly do not know which type of Forms my colleague used, as she is currently on a long vacation.

I can download this Excel file manually, but I need to automate the download and upload it to another SharePoint folder in order to create the report.

Have you considered utilizing the built-in functionality in MS Forms that syncs responses to a workbook that you can access via OneDrive or SharePoint (depending on the type of form you've created)?
