SharePoint Unstructured Data connector issue, Dataverse storage.

Hi Everyone,

I’m developing an agent in Copilot Studio that uses the SharePoint connector for unstructured data (an Excel file). From what I understand, this connector ingests the file into Dataverse as a knowledge source. Here's the situation I'm encountering:


  • I’ve correctly added the Excel file via the SharePoint unstructured data connector.

  • The file shows up as a knowledge source and is marked as “Ready.”

  • In the Generative Answer node, this file is selected as the only knowledge source.

  • When I test the agent, I get correct answers, and so do other users who are part of the same environment in Copilot Studio.

  • However, when an external user (outside of the environment) tries asking the agent a question that should be answered using the file, they get no results.

  • The Excel file is correctly shared with that external user in SharePoint.

It seems that although access to the SharePoint file is granted, users who are not part of the Copilot Studio environment can’t receive answers from the Dataverse-indexed source. Is there a requirement for users to also be members of the Copilot environment to access these answers? If so, how should external users be added and with what roles to enable this?

Any clarification or documentation references would be appreciated!

    You are correct, well let me first say, the SharePoint connector is not "unstructured", but I understand why you are saying that, as its a file.
     
    Yeah they need both a license for CP at least, and they need to be a User (the Role) at least in the PPAC for that environment.

    Are you able to provide any documentation for that? 
    I was looking for any info and failed. What is minimal role in PP env for user? It is very strange prerequisite...
    Maybe only access to some specific combination of DV tables would be enough?
