The best way to do resource management manually is by following a structured process that ensures all resources are used efficiently. 

  1. Start by identifying all available resources—team members (with skills and availability), tools, equipment, and time. 
  2. Break down each project into tasks and estimate the time and skills needed for each one. 
  3. Create a centralized resource calendar (using a spreadsheet or planner) to map out who is working on what and when. 
  4. Prioritize tasks and assign resources based on urgency, skill match, and availability. 
  5. Monitor resource usage regularly through weekly reviews and adjust allocations as needed. 
  6. Encourage open communication to identify potential overloads or availability issues early. 

Although this manual approach can work for small teams, it becomes challenging to scale and maintain. For better efficiency, tools like Workstatus offer automated time tracking, smart scheduling, real-time insights, and team monitoring, making resource management easier and more effective.

    Here’s what I’d suggest based on what’s worked well in our environment:
     
    1. Start with a Centralized Resource Tracker
    You can build a simple Power App connected to Dataverse or SharePoint to track team members, skills, availability, and assignments. This gives you a real-time view of who’s doing what and when.
    2. Automate Scheduling and Notifications
    Use Power Automate to trigger reminders for task deadlines, notify when someone is overbooked, or even flag when a resource is underutilized. It helps reduce manual follow-ups and keeps things moving.
    3. Use Power BI for Visibility
    Connect your resource data to Power BI to create dashboards that show utilization trends, capacity gaps, and forecasted workloads. This helps with proactive planning and decision-making.
    4. Leverage Managed Environments
    If you’re working across multiple teams or projects, Managed Environments in Power Platform can help you segment workloads, apply governance, and ensure the right people have access to the right tools.
    5. Build a Governance Layer
    Consider using the CoE Starter Kit to monitor app usage, environment health, and maker activity. It’s a great way to keep your resource management aligned with platform governance.

    We looked at deploying the native PowerApps PPM solution called:
    Project For the Web along with a community driven open-source enhancement layer called Project for the Web accelerator which enhances the base layer, as mentioned in the Readme file on the github repo frontpage:

    💡 Project Requests. Create a list of ideas for Projects that include a business case and expected impact. The included Power Automate flow will create projects whenever the state of requests is set to Approved.

    💼 Programs. Create a heirarchy of programs and projects see how work fits into the bigger picture.

    🔥 Risks and Issues. Manage the surprises that accompany every project. Create and assign risks and issues to minimize impacts to a project's schedule.

    🚧 Changes. Use change tracking processes to help understand the history of a project.

    📝 Status. Centralize recording of project status to keep stakeholders up-to-date.
