MS Shifts to Outlook 365 Calendar

Good Morning,

I am hoping you may be able to offer me some guidance please.

My organisation recently started using MS Shifts for resource scheduling. I was asked to look in to finding a way of automating adding the shift details to each users O365 Calendar.

I followed this forum post and confirm that the flow is running successfully:

https://powerusers.microsoft.com/t5/Power-Automate-Cookbook/Shifts-To-Office365-Outlook-Calendar-Automatization/td-p/630520

My intention was to send instructions to all users of how to import the flow, but realised that this does not meet the overall requirement. Our Manager makes several changes to the shifts i.e. deleting them and adding new shifts. This flow does not remove deleted shifts from user's calendars.

I therefore did a little more research and found this post and created an automated flow:

https://powerusers.microsoft.com/t5/General-Power-Automate/When-a-shift-is-deleted-in-StaffHub-remove-entry-from-O365/td-p/111295

I have modified my original flow (that creates calendar invites) so the ShiftID is added to the body of the calendar invite. Thus enabling the new automated flow to loop through each calendar invite and remove the relevant entry upon a shift being deleted.

Things appeared to be working at face value but I then realised that the flow runs several times upon the deletion of a shift. It also gets stuck in a loop so that, eventually, new generations of the flow do not run as no more calls to the relevant APIs can be made.

I look forward to any guidance that can be given.

I am attaching screenshots of the automated flow and results and can provide more information on request.

Many thanks,

Ray
