Need clarification on Portal licensing , price calculation, and Portal login with Azure Active Directory.

Hi ,

Need some clarification on the Portal licensing and cost calculation.

Question 1:  If there is a monthly login 1,200 of External user (authenticated), it should be Tier 2 where USD 1,000 for 1,000 logins.*** Can the extra 200 logins be purchased with USD 100 or USD 200 (original price)? What will be the actual  cost ? USD1,400 or USD1,200 ?

***Referring to the https://docs.microsoft.com/en-us/power-platform/admin/powerapps-flow-licensing-faq#portals

Question 2: Company ABC has 100 internal staffs. 2 staffs subscribe to Powerapps license. Can others 98 internal staffs with Azure Active Directory (AAD) access to the Portals by using the SKU for external users(authenticated) logins?

Appreciate if anyone can shed some light on this.

    Hi @ManHoe1 ,

For your first question, if there is a monthly login 1,200 of External user (authenticated) on your side, you could purchase Tier 2 where USD 1,000 for 1,000 logins and a additional 200 logins with USD $200 Price/month.

The USD $100 Price/month for External user (authenticated) is not supported in Portals. Actually, the Power Apps Portals login capacity add-on Tier 2 (10 unit min) is actually the Power Apps portals login capacity add-on Tier 2 where USD 1,000 for 1,000 logins. If you want to purchase Power Apps Portals login capacity add-on Tier 2 (10 unit min) , you must purchase 10 unit at least ($100 * 10 unit => $1000).

Please check the following article for more details:

For your second question, these others 98 internal staffs with Azure Active Directory (AAD) could login in your Portal as authenticated users (if they have been added as Contacts in your Portal). But if they want to purchase SKU for external users (authenticated) logins, I afraid that there is no way to achieve this.

Actually, the PowerApps Portal License is acted as a Add-On Capacity in Power Apps License. If you want to purchase SKU for external users (authenticated) logins, you must own proper Power Apps license firstly. But if you just only want to access or login in a Portal, you do not need a Power Apps license.

In addition, for internal users, use rights to a “custom” portal are aligned with their “custom” Power Apps use rights. Please check the following article for more details:

    https://docs.microsoft.com/en-us/power-platform/admin/powerapps-flow-licensing-faq#can-you-clarify-the-use-rights-to-portals-for-internal-users

    Dear Kris,

Thanks so much for your prompt and clear explanation.

Let me further elaborate on my question 2 as below :

    - Company A has 100 staffs

    - 2 staffs have purchased PowerApps license as designer, admin to the Portals
    - The other 98 staffs have Azure AD setup in this organization.

In such cases, in order for these 98 staffs who are all internal team member  to access /login the Portals, they will need to :

    (A) making use of the purchased SKU (External "Authenticated") Tier 2 1000 logins and  OR

    (B) purchase PowerApps license (similar to the 2 staffs) individually for each 98 staff OR

    (C) Any other option ?

Thanks again in advance for your time.

    Hi @ManHoe1 ,

Just I mentioned above. For these 98 staffs, it is not necessary to purchase SKU (External "Authenticated") Tier 2 1000 logins or PowerApps license (similar to the 2 staffs) individually.

All of these 98 staffs could access this Portal as external users, and they could register in your Portal, then they could access your Portal normally. Once they have been registered in your Portal, they would be added as contact in your Portal and become Authenticated user.

But if you add some Entity List, Entity Forms which enabled "Entity Permission" in your Portal, these 98 staffs could not access these Entity List/Entity Form (which enabled "Entity Permission") in your Portal. They must be assigned with a proper Web Role in your Portal with proper permission to access content in your Portal. Please check the following article for more details:

    https://docs.microsoft.com/en-us/powerapps/maker/portals/configure/create-web-roles

More details about configuring Entity Permission, Web Page Access permission in Portal, please check the following article:

    https://docs.microsoft.com/en-us/powerapps/maker/portals/configure/assign-entity-permissions

    https://docs.microsoft.com/en-us/powerapps/maker/portals/configure/website-access-permission

    Best regards,
