External portal linked with Sharepoint

Hi all

I am pretty new to power apps portals( I do have experience in canvas & model driven) and I was wondering, I have the following use case for a client:

They want to create an external client portal(with login) to like share documents and stuff ( these documents can go up to 250mb per file) with their clients (multiple).

Is is possible to link one or more Sharepoint document libraries to the portal on a specific page, and only show the client their specific documents when they login?( client A is not allowed to see the documents of client B)

I have done some research already I have no practical experience in this field. Also the project is time sensitive so I thought I would ask my question here.

Thank you in advance and kind regards

    Hi @Nass_

Welcome to the power apps portal forum. You can have a power apps portal especially for external users with login.

Adding an official link of how to integrate SharePoint to the Power Apps portal.

    https://docs.microsoft.com/en-us/powerapps/maker/portals/manage-sharepoint-documents

unfortunately, the maximum file upload size would be 50 MB. Only download size is 250 MB.

    Restricting access to files:

    1. From the above URL, have a look at step 5 where you can restrict access to the documents and also apply web roles on top of it.

    Linking to multiple document libraries

    1. You can link a SharePoint site (subsite)  and choose the entity or

    2. Select based on entity options (See step 3)

    Additional:

For this scenario, you can simply use the Dataverse file storage option and pay for file storage which is actually a Azure blob storage.

    https://docs.microsoft.com/en-us/powerapps/maker/portals/enable-azure-storage

This is more modern but again the maximum file upload size is 125MB

    Hope it helps.

    Hi @ragavanrajan

    Thank you for welcoming me.

Well, the external people only need to be able to download. My (internal) employees can access the Sharepoint Document Library straight from the Sharepoint interface or with File Explorer Sync.

The external authenticated users only need to be able to download and see the documents.

Will this maximum upload be an issue in that case?

Thank you in advance and kind regards.

    Hi @Nass_

With respect to the Portals, the below-mentioned upload size is applicable for internal and external users. Working in SP online is different, integrating SP with Portal is different. The below restriction applies.

You will be at the end of the tunnel without lights.

Hope it points to your deciding factor.

    Hi @ragavanrajan

    No worries @Nass_

As mentioned, please consider using dataverse notes attachments / with or without blob storage.

FYI. There will be a new feature which will be released by this Feb ( File column type)

    https://docs.microsoft.com/en-us/power-platform-release-plan/2021wave2/power-apps-portals/web-files-portals-use-file-column-type-dataverse

But as of now, you can consider the first mentioned option.

    Hope it helps.
