Lists - Filtering

Posted on by 6

Hello Team,

We have a list where several members have entered their requests, which can be viewed in the list.

My idea is to filter the list by the logged-in user's username. Please refer to the attached image for better understanding.

When a user logs into the portal using Azure AD/Microsoft Entra ID, the list should be filtered to show only the requests of the logged-in user.

The admin of the website should be able to see all the requests.

Please help me achieve my goal.

Thanks & Regards,
Joy

You Portal user will have a Contact record created for them.  You need to populate a Contact Lookup on the records in question with that Contact record.  You can then do one of the following:
    • Configure the List to only show records for the contact.  Use the Power Pages Management App and open the List in question and set the Portal User Attribute https://learn.microsoft.com/en-us/power-pages/configure/list-attributes-relationships
    • if not wanted for all the Views, then you can add a condition into the Dataverse View that you want it to apply to by adding the Contact Lookup field equals any contact record (the portal will substitute the record used int he view filter with the current logged in portal user contact)
    • The most secure option, is to configure Table Permissions appropriately so the users can only view thier records e.g. a Table Permission on the Table in question that is set to Scope = Contact for the Lookup relationship.
(if the portal user is creating/updating the records on the portal you can also populate the Lookup on by Form settings or Form Metadata https://learn.microsoft.com/en-us/power-pages/configure/basic-forms#additional-settings   https://learn.microsoft.com/en-us/power-pages/configure/configure-basic-form-metadata#set-value-on-save)
