Request for Solution to Exclude Outdated Folders from Copilot Agent Search

Dear Team,

 

We have created a Copilot agent and added SharePoint sites to its knowledge base. Some folders within the SharePoint Document Library contain outdated documents that we do not want to appear in search results. Our goal is to hide these folders from the search index.

 

We have already added instructions to exclude Archive folders, but this approach did not achieve the desired outcome.

 

Could you please suggest a solution or best practice to ensure these folders are completely excluded from the Copilot agent’s search results?

    I would need to see exactly what instructions you have as well as things like
     
    1. The folder structure
    2. how you are accessing them
    3. What filters you have
    4. Is this part of general knowledge and instructions or Agent Flows, Tools, or Topics etc?
     
    The agent should listen to you as long as the instructions are clear. I have a lot of customers where we have a similar requirement and it does work, so to help you I would need more details.

    hello, Michael provide you good advice, i will add few more :
     
    Public IA and local company IA work very differently.
    Public IA use all the public knowledge of the world to answer.
    Company IA are trained differently to use dedicated content.
     
    Giving a lot of document with outdated content is not recommanded. IA best practise is to have a dedicated knowledge source with the content only need by the IA. It will help to ensure the best quality answer over time and control on that quality. Easy way is to use publishing mecanisme to send content to dedicated folder or made them moderated by a an expert.
     
    Making some workaround to hide some content will one day or another tend to bad quality result. 
     
    But we know real life is complicated and some time different, or very complicated to have best case
     
    Microsoft recently added to sharepoint connector date filter so you can exclude content after a certain period : 
     
     
    to conclude, since you have this workaround, remind that all company great IA solution all use "hidden" database or dedicated folder with only the datas they want, so it's a good practice to clean :)
