Mail Merge with atachments

Hello,

For my organization we have to send out individual emails with a subject line and brief statement and then a attachment with a certification of completion. I am trying to do the mail merge method and saving it on excel and then importing on word with the system auto populating the sheet to each individual. However, when I am trying to send it out I am getting stuck on how to have each certificate be sent individually to each participant but I am getting lost.

So first I need details of how to transition over information (name, email, workshop, credit hours) to be transitioned over into a already pre made word document that is already created as certificate template.
Than once a that list is importanted and I can preview each certificate I than need the emails that are attached per certificate to be attached in outlook and send to the individual with a quick greeting explaining what the attachment is.
Each individual should receive an individual pdf attachment and email.

I have the same question (0)

Word Mail Merge can natively send individual emails, but it cannot attach unique PDF certificates to them out of the box. It typically forces you to send the merge either as the email body itself or as a Word document.

To automate sending unique PDF attachments without relying on complex VBA macros or desktop add-ins, the most scalable approach is using Power Automate:

    • Data Source: Keep your recipient details (Name, Email, Workshop date) in an Excel table or SharePoint list.
    • Template: Design your certificate in Word using text content controls as placeholders.
    • Automation: Build a flow that loops through each row, populates the Word template, converts the file to a PDF using the OneDrive or SharePoint connector, and emails it directly to the recipient.
While Word Mail Merge works fine for manual printing, Power Automate is the correct choice if you want the PDF conversion and emailing handled securely in the cloud.
