Need to create a new Excel file in SharePoint whenever there's a response from MS Forms

Hello everyone,

I need to create a flow that does the following when a response from MS Forms comes in:
  • Create a new excel file in SharePoint based on the current date of the response (i.e. "CurrentDate_Responses.xlsx") where CurrentDate is a dynamic object
  • For any new responses,
    • Flow will check if response date matches CurrentDate. If it matches, it puts the response in CurrentDate_Responses.xlsx
    • If response date does not match CurrentDate, it will create a new excel file in SharePoint "NewDate_Responses.xlsx" and puts the response there
Please note that CurrentDate and NewDate are only placeholders and they're meant to actually represent a date format. For example, if a response is taken on March 14, 2025, the excel file created will be called "14032025_Responses.xlsx". If a response from a new date is taken, say March 15, 2025, the excel file will be "15032025_Responses.xlsx".

Hope that makes sense!

I've tried creating a flow based on this video: https://www.youtube.com/watch?v=gr62sT2Ywd8 and it has the general structure of what I'm looking for, but my issues are as follows:
  • I'm not sure how to dynamically link the form response date to the excel file name when creating a new file
  • If I create the column names as shown in the video and have the response from MS Forms be added as a row, it gets added in the rows where the column names are

I know this might be a pretty complex scenario, but any advice or help will be very much appreciated!

If you are storing all of the Excel files in a specific location, use a get files action to get the files from that location and check if there is a file with a created date that corresponds to the response date using a filter query. If, not, create your new Excel file and if one exists use it.

Please share your flow, please don't share someone elses video. We have to help you do what you need and without us writing it all, its too common no to just ask for that and we cannot teach and educate by just doing your work, so please understand :-) we want to help, but you have to help us with that.

    1. Write up your steps in a clear process
    2. the steps you write up, will help you determine what you need to search for (I need to rename a file, so search for Renaming a file in power automate for Sharepoint) etc

    3. Share your flow and points where you are stuck so we can help you get passed them.

Its not really a complex thing, if you just take it one action at a time, instead of trying to understand how to build the whole thing :-). Compartmentalize the ask, and I promise you will get further and we will definitely help you100%
