What’s happening?
Customers are facing issues with transferring the ownership of Power Virtual Assistants (Copilots) created by an engineer to a new service account. They are unable to find the option to do so in Power Platform or Copilot Studio, and they encounter errors related to permissions.
 

Reason:
This arises because the Copilot is under an environment known as Microsoft Dataverse for Teams, which has a 1:1 mapping to the channel. Only apps created within that team will have access to the environment, and external apps will not be able to access it. Additionally, the bot cannot function if the owner account is deactivated.
 

Resolution:

  1. Check Permissions: Ensure that the user attempting to change the ownership has the necessary permissions. The user must have the prvReadconversationtranscript privilege to access the conversation transcript custom table.
  2. Access the Power Apps Portal:
  3. Open the Power Apps portal at make.powerapps.com and sign in.
  4. Click on the settings gear icon in the top right corner.
  5. Select "Advanced Settings" from the dropdown menu.
  6. Navigate to Customizations:
  7. In the new tab, select "Customizations" from the dropdown menu.
  8. Choose "Customize the System".
  9. Locate the Copilot:
  10. In the list of components on the left-hand side, select "chatbots".
  11. Double-click the corresponding chatbot to open its details.
  12. Change the Owner:
  13. Scroll down to the "Owner" field.
  14. Click on "Look Up More Records".
  15. Search for the new owner's name in the "Lookup Record" and select it.
  16. Click "Add" and ensure to save changes at the bottom right corner.
  17. Upgrade Environment (if necessary): If the ownership change is not successful, consider upgrading the environment to include all Dataverse functionalities, which allows for the import and export of solutions.
  18. Alternative Options: If the above steps do not resolve the issue, consider using the bot from other environments or upgrading to the full Dataverse.
  19. Follow Up: After attempting the above steps, check with the team to confirm if the bot owner has been changed successfully and provide updates as necessary.
