What’s happening?
Customers are experiencing issues with database, file, and log capacities being over the allowed limits, leading to requests for assistance in cleanup processes and temporary capacity extensions.
Reason:
The underlying causes include:
- Increased data consumption in Dataverse environments, particularly due to changes in data storage types (e.g., from File storage to Database storage).
- Lack of visibility into which operations are causing capacity increases, as the reporting tools do not provide detailed user-level insights.
- Temporary capacity requests due to historical changes in data consumption that were not communicated effectively.
Resolution:
For Cleanup of Over Capacity:
- Navigate to the Power Platform Admin Center (PPAC).
- Select the environment and go to Settings > Data management > Bulk deletion.
- Create a bulk deletion job to remove unwanted records from specific tables to free up capacity.
- Monitor the capacity usage after deletion, as changes may take 24-48 hours to reflect in reports.
For Temporary Capacity Extension Requests:
- Navigate to the Power Platform Admin Center (PPAC).
- In the navigation pane, select Resources > Capacity.
- If you're running low on storage capacity, you see a banner. In the banner at the top of the page, select Enable capacity extension.
- Review the details of the capacity overage. The 25% capacity is calculated based on capacity used and applies to each capacity type (database, file, and log). Select Enable capacity extension.
- Select Confirm. A banner displays that the temporary capacity extension is now active.
- After turning on the extension, for the next 30 days the extra capacity appears in the Power Platform admin center Capacity page (Resources > Capacity > Summary).
For Monitoring Capacity: Regularly check the capacity reports to identify which tables are consuming the most storage and take necessary actions accordingly.
For General Capacity Management:
- Understand that the overall capacity available at the tenant level is not impacted by allocations to specific environments.
- Use the allocation feature to manage capacities effectively across different environments.
