What’s happening?
Journal entries created by an Admin based on an exported file are not appearing in the corresponding Dynamics 365 journal when searched using the data from the exported file. Additionally, there are concerns regarding the audit trail showing "Created by" as "Admin" instead of the actual user ID for transactions created by users with non-admin roles.
Reason:
This behavior is by design due to the 'Subledger Transfer to General Ledger Performance Optimization' feature being enabled in the Dynamics 365 Finance and Operations application. When this feature is enabled, documents created are transferred from Subledger to General Ledger in a single batch job by the Admin user.
Resolution:
- To verify the actual user who posted the transaction, check the "Created By" field by selecting the transaction and then clicking on the Voucher General tab.
- If necessary, consider enabling or disabling the 'Subledger Transfer to General Ledger Performance Optimization' feature based on operational needs. When disabled, the batch task will run for each document, which may impact performance but will show the correct user ID in the audit trail.
