What’s happening?
Customers are requesting to disable specific modules (such as HR and commerce) in Dynamics 365 Finance and Operations and seek clarification on the impact of these actions. Additionally, there are inquiries regarding the housekeeping of security roles assigned to users and the accuracy of licensing reports.
Reason:
- Disabling the HR or commerce module can lead to data loss, including employee records and commerce-related data. Any processes or workflows relying on these functionalities will be disrupted.
- There is a known issue (Details for issue 967831) regarding discrepancies in the licensing reports, which may not accurately reflect the assigned licenses in the portal.
- For Disabling Modules:
- It is strongly advised not to disable the HR or commerce modules due to potential data loss. If the modules must be disabled, ensure the following:
- Review all business processes that depend on these modules to identify potential disruptions.
- Ensure a complete backup of all data before proceeding with any disabling actions.
- Conduct thorough testing in a sandbox environment to understand the full impact.
- If the goal is to prevent users from seeing HR or commerce-related menus, assign Finance-related roles to those users instead.
- As a system administrator, you can view all modules, including HR and commerce.
- For Housekeeping on Security Roles:
- Confirm that the modules removed from the security roles will not reappear or be recalculated in the licensing overview.
- Use the User License Estimator report for checking consumed user licenses in the Finance and Operations environments.
- Be aware that it may take 48 hours for changes in the Power Platform Admin Center (PPAC) to reflect accurately.
- If discrepancies are noted in the licensing reports, refer to the actual license usage/assignment directly from the Finance and Operations licensing report for accurate values.
- Monitor for updates regarding the known issue affecting the licensing reports and utilize the Notify me option for email notifications on any updates.
