What’s happening?
System administrators need to view and manage individual-level email templates created by users, even when these templates have not been explicitly shared or assigned to the administrator. Additionally, administrators seek a method to obtain an overview of all individual-level email templates across users.
Reason
The visibility of email templates in Dynamics 365 depends on the security level set by the template owner. If the template is set at the individual level and not shared or assigned to a team or set at the Organization level, it will not be directly visible to other users, including system administrators.
Resolution:
A system administrator can access and modify an individual-level email template if the direct URL to the template record is provided. However, Dynamics 365 does not provide a built-in method or overview page for system administrators to collectively view all individual-level email templates created by users if these templates have not been explicitly shared or assigned at the Organization or team level.
To ensure visibility and manageability of email templates by system administrators, the template owner must perform one of the following actions:
- Change the security level of the email template to "Organization".
- Assign the email template to a team that includes the system administrator.
