How can I create a power app using Lists as pre-populated data to then export into excel?

I am super stuck and could do with some assistance please!

I am trying to make a power app that is a form that has pre-populated selections that will export to an excel spreadsheet.

The app records learners completing training on a specific course, who trained them, the date, and time and if they passed or failed etc.

The problem is the learner list is almost 4,000 people AND the course options are around 300.

To avoid any confusion I want to make sure that a person's name also brings up their staff number and department, likewise if you select a course title it also shows the course ID for the LMS we use.

I have been watching YouTube videos and I have been able to create an app with a drop-down of names, that then shows dept, and staff number underneath by using a Microsoft list and connecting the data. Still, it has a limit of 2000 entries so not everyone is included. I have also added to that same app the course name and IDs linking them the same way to another list.

This app currently contains two separate lists it uses as the pre-filled data. I assume I can do something similar for date and time and instructors, but how do I get that information into a form?

It pulls the data from different lists and I can't see a way to export the selected data to a new form?

Please help 🙂 Thanks.

Though this is not exactly what you are looking for, I think this will give you similar results to what you want:

I have followed this tutorial before and it does work, and I think could act as a good starting point for what it sounds like you want. This way you can bring in the two inputs, and I am presuming you are going to want to patch it to one, you can write one patch function to go to an excel sheet.

I could be interpreting what you asked for completely wrong, but working with an editable grid can offer a lot of flexibility that it seems you want - you can also disable or use or not use features that are seen in the video.

That is an interesting video but it doesn't quite do what I need.

I currently have the course list and the staff list as separate lists, whilst I could combine them into one list, I still have the issue of the fact there are over 3,000 staff so I can't get the full list to display in PA.

The most important thing however is I need to get that competed PA as form to update a spreadsheet - it can't be the same spreadsheet as the staff and course list as not every staff is doing a course, and not every staff member does every course. I need a separate spreadsheet showing which staff did which course and if they passed and this data has to come from the list of staff names and list of courses.

And I do want it to be a form, not a grid.
