Item ID not found on new sharepoint list items when starting approval flow

I am running into an issue that seems to be getting worse. I have a sharepoint list in which I register purchase requests. It's a very simple and basic list.

After entering the purchase request, I want to run an approval request that I set up using the template in Power Automate. This worked find in the beginning, but it almost seems that the more entries there are in my sharepoint list, the more the flow will fail.

Interestingly, if I wait for a couple of minutes after creating the list item, the flow will run fine. If I start it 'too early', the flow will fail with a 404 message that the item could not be found in the list. As if it's looking at a different server to which the changes have not yet been replicated.

It has gone so far that I have even entered a ten minute delay in my flow, which helped for a while, but now even ten minutes doesn't seem to cut it.

Anyone know what might be causing this? Is there anything I might change in my setup?

Additionally, I have two other flows that are very similar to the above one, and each has the same issue. So it's not just this one single flow, it's any flow that tries to manage approvals on this sharepoint list.

If possible, can you find out what else is going on with Power Automate in your tenant at the same moment? Is there a large number of Power Automate jobs executing at the same time? What kind of license do you have? It sounds like you're possibly being throttled by Microsoft.

    Thanks,

    Anne

Hi, thank you for your reply Anne.
As the tenant-admin, I'm pretty much the only one setting up and using Power Automate flows. Knowing my colleagues, I'm probably the only one aware of the existence of Power Automate :-). We have a couple of flows running getting scanned documents from a mailbox and writing them to document Stores in Sharepoint. And the few approval flows that exist are managed by just me. So, hardly anything running. We have an E3 subscription (education).

I see how you're thinking we might be throttled, but I'd expect the flow to be delayed or postponed in running then. However, it starts just fine, and swiftly. But it seems to be unable to locate the new item in the Sharepoint list, even though the flow was triggered from that very item. If I wait a couple of minutes, or perform another approval on something that has been in the list longer, I have no issues at all. This only occurs on 'fresh' entries in the Sharepoint list.

As tenant admin, you are indeed the best person to know if someone is overstressing things. I was basing my guess on my own experience. I also am a user in an E3 tenant with a basic license and I have noticed that if several of my Flows that send lots of emails are triggered to run at the exact same time, sometimes email sending gets throttled, showing up as retries in the run. It's hard to know everything that's going on with a cloud service.

You eventually do access the file, right? With no other changes at all? Just wait long enough and it starts working? Unless there's some holdup in the creating of the file, such as it being locked on someone's desktop---but that's not your error, is it. I'm sorry, I really wish I could be of more help.

    Thanks,

    Anne
