Deploy personal email notification script to all users

Hi,

The company wanted to restrict the ability of contractors to forward company email to their personal email (most contractors rarely check their emails, thus the reason they created the auto-forwarding rule).
In Exchange Online, we managed to create a rule that will restrict the auto-forwarding against a specific user group.

To ensure a smooth transition for these contractors, we are planning to create a personal email notification that encourages them to login to the work email; this email will consist of no attachment, just a simple message, something like 'Hi, you have a new email on your work email, please check it accordingly'.

In Power Automate (Flow), we can create this easily, for example:

The problem is, I need to be able to deploy this flow against multiple users from the back-end (rather than rely on the users to import/export it themselves).

I noticed there is a 'run-only' share capabilities with PA/Flow, but this option is available when it is a manual / sharepoint item triggers; not an email trigger.

Do you think PA/Flow is a good solution to what we want to achieve here?

Thanks

    Hi @Jsidarta

I understand the issue, but Power Automate uses the person's connectors that build it, not the one who runs it. So the connections must be changed and authorized so that Power Automate can fetch the emails from each of the individual email acounts.

I know it's not ideal, but the export/import is the solution to ensure that each properly autorizes the access so that the Power Automate can run.

I hope someone else here is a nice workaround for this to help you.

If I have answered your question, please mark your post as Solved.
If you like my response, please give it a Thumbs Up.

    Cheers
    Manuel
