Notification about new files in OneDriver folder for those who have access

Hi all,

 

We share reports by a OneDrive folder which is granted to specific recipients.

It is easy to create a flow that informs you about a new file that was loaded to this folder.

However, I do not want to amend the flow every time a recipient is granted access. That is already done when granting rights to the folder in question. So, I envision that the notification email is sent to the colleagues that have access to the folder. Is that somehow possible.

    Yes, a group would of course be an option. However, I am not allowed to create groups at the moment. 

     

    The question is if there is a variable or set which proivdes all colleagues that have access to the folder. This variable or set respectively could be used in the To-field of the send emial action.

     

    I thought the scenario I described is a scenario lots of people are faced with and was therefore expecting that a standard solution is available (in the repository of Flow).

     

    I will try to get access for creating groups in the meantime.

    Hi @Sebastian_V,

     

    Have you tried to create a group for members who have view permission to the folder? Then you could enter the group email address in the To field of the Send email action.

    The situation we have is as follows:

     

    We load on a weekly basis a report to a OneDrive-folder (size of file is really big).

    A set of colleagues were granted view-access to this folder. Nobody else can view it.

    After uploading the latest report we inform the same colleagues via email that a new file is available.

     

    So, the trigger is a new file in the folder.

     

    It is easy to set up a flow to inform the colleagues by email if a new file arrives in the folder.

    BUT, in the Outlook action item I have to add the recipients manually.

    It would be nice to say: inform all that have access to the folder.

     

    Hope that clarifies it a little bit.

    Why do you amend the flow every time a recipient is granted access?

     

    How do you grant access to recipient? Do you share it with colleagues on OneDrive?

     

    Do you want flow to detect who has access to the folder, then send an email to him/her?

     

    If yes, I am afraid that it cannot be achieved, as there is no dynamic content can be used for the access level. If you need this feature, please consider submitting a request on Flow Ideas Fourm:

    Hi @Sebastian_V, If you share a file with someone it automatically sends a notification to a user. I am trying to understand why do you need to amend the flow. Do you want to share the flow and tell us what you are trying to change every time?
