Obscure question about the Choices function in a People Picker Combobox

Background:

I'm building an App that uses several Comboboxes connected to some Person or Group columns in a SharePoint List. I intend to update these to use the Office 365 Users connector eventually, but I am curious to figure out what exactly the Choices function is doing by default (i.e. "Choices[@List].PeopleColumn").

Observation:

I'm in a small org that will adopt Microsoft 365 soon, so we have a handful of user accounts set up in what is essentially a test environment, but there are so few people that delegation isn't an issue. After I was added to this organization, I started working with Power Apps to make a few basic forms; and when I made any people picker boxes, selecting those didn't bring up any names by default (but typing a name or email would bring up relevant usernames). But a few weeks ago I added another user to the organization, and now each time I select a combobox this user's name is the only one to show up by default. Hmm... It's not bad and doesn't break anything, but it's just weird. What I see when I click a box:

Testing:

I've tried a few things. When I highlight the combobox and check the values from the formula bar, the Choices([@List].PeopleColumn) shows a table with only one record containing the one user. If I type an @ or a . in the search box, it brings up the full list of people just fine. If I try to use filtering in the Choices function to show only myself (such as Choices([@List].PeopleColumn, User().FullName) to return only me), I can see that the Choices function shows a Table with my information in it before I click the combobox; but AFTER I click the combobox, it still replaces me with the other user. I'm baffled.

I tried searching through relevant username lists in various M365 admin panels to see if I could find any differences between that user and other users, but results are coming up empty. I have not yet tried adding a new licensed user because we're pretty limited on available licenses.

Inquiry:

So, out of morbid curiosity, does anyone have any insight as to where a Choices function as the Items attribute of a people picker combobox draws from to display a list of contacts? I imagine it filters the org's contact list in a weird way by default, or Choices itself is just broken. I doubt I'll get an answer to this, but I figured I'd at least try to ask a community that might know. Thanks!

    Hi @mattklug ,

That one will bring up a list of all the items currently saved in that field in your data source (OK if everyone is there) otherwise you can use

    Office365Users.SearchUser({searchTerm:Self.SearchText})

Just be aware when you save this one, you need to rename or reference the Mail column to Email in your Person field. Example Update would be

    RenameColumns(
     ComboBoxName.Selected,
     "Mail",
     "Email"
    )

    Hello @mattklug

I don't think Choice function is broken but it just has limited function.

As for your question, it looks like it's retrieving it from a SharePoint API.cha_cha_0-1707267510531.png

After checking the logs, it most likely, the culprit is the ComboxBox control. Whenever you enable the Search toggle on it, it utilizes different API URL to fill in the items of the ComboBox and it overrides the current filter.

Your decision of using Office365Users would give you more control to configure the data.

Huh, interesting, I appreciate the answer @cha_cha. So if it's making an API call to SharePoint to get the list from a table, then I could investigate that entity further if I wanted to continue my wild goose chase.

Looks like I will need to get better at checking the resources available to me for logging and debugging. Thank you for the insight!
