Flow Not Triggering from Power Apps Form Submission

Hi all,

I have a sharepoint list that has a connected flow. When a new list item is made, an automated email is sent to the creator confirming their entry.

Recently we made a new power app so that we can place the form outside of our sharepoint site. When users complete the powerapps form, the entry is added to the sharepoint list as a new item, but the connected flow that is triggered when there is a new item does not actually start. It works as long as I am creating the items using the sharepoint form.

Not sure what to do.

Flows run, by default, as the user who created the Flow unless the Flow is triggered from a Power App.  When a Power App trigger is used, the Power App users credentials are passed through and the Flow is run using those credentials.  In your case, the Power App user does not have access to the SharePoint list so the Flow will fail.

You need to give your users Contribute level access to the list or higher.  You can always have another Flow run when a new item is created in the list and remove their permissions for the list item that was created.

@ScottShearer thank you for your explanation. I am very new at all of this, so I want to make sure I am choosing the next best option. I can't give contributor access because we have about 42,000 people needing to be able to use and access the app form, if needed.

So, essentially, I need to create a new flow that starts with the Power Apps trigger and then initialize variables for each field from the Power Apps form that I want later in the "Send an Email" step?

You can grant contribute permissions to "everyone" very easily for the list (no need for permissions to the entire site).

If all you need to do is to send an email, there is no need for variables.  You can reference the output of the Get response details action directly in your email.

Please note that since the Power App users credentials will be used in the Flow, the email will be From that user - so the to: and the from: on the email will be the same.  For that reason, consider using a "Send an email notification" action rather than a Send an Email action.  The Send an email notification action (green envelope icon) is limited to 100 emails per day.

I don't know if this is practical for you, but you might want to consider using Forms (Microsoft Forms app) to collect the information from your users rather than a Power App - that will solve a lot of your problems.
